SPECIAL TERMS AND CONDITIONS OF SALE ODYSSEY OF TRAVEL / Wild Nature Trips

Registration for any trip implies knowledge and acceptance of the specific terms and conditions of sale detailed on this page.

Registration and Payment

Before registering, you must have been informed of the trip details during a telephone appointment or, failing that, by email. You must also have read the trip description for the trip in question.

Signing this quote implies full acceptance of the general and specific terms and conditions of sale, available upon request on our website and in our digital brochure.

Wild Nature Trips considers a registration final only upon receipt of a dated and signed quote, accompanied by a 30% deposit if payment is made more than 45 days before the departure date, or full payment for the trip if the departure is less than 45 days away. In all cases, a written response from us will be required to confirm your registration. The balance of your trip must be received at least 45 days before departure, without further notice from us.

If payment is not received on time, we will consider your registration cancelled under our standard cancellation policy.

Once your payment has been verified, a summary form and an invoice will be sent to you by email.

The prices quoted do not include travel to the starting point of the tour unless otherwise stated in the quote/contract.

One week before your departure, a trip itinerary will be sent to you to help you prepare for your stay.

The processing fee is fixed and reviewed annually.

Cancellation Policy and Fees

If you are obliged to cancel your trip, Wild Nature Trips must be notified by registered mail with return receipt requested or by dated email. The date stamped on the post/the date the email was received will be considered the cancellation date for billing purposes.

Depending on the services included in your trip and to account for constraints imposed by our service providers and partners, in the event of cancellation by you before departure, Wild Nature Trips may apply cancellation fees based on its actual, documented costs at the time of your cancellation for certain types of trips. Unless otherwise stated in the trip offer, the fee schedule below will apply.

For all trips, cancellation by the client will incur the following fees:

- more than 45 days before departure: 30% of the total price of the trip (excluding booking fees)

- between 44 and 30 days: 50% of the total price of the trip (excluding booking fees)

- between 29 and 15 days: 80% of the total price of the trip (excluding booking fees)

- between 14 days and the day of departure: 100% of the total price of the trip

Failure to arrive at the scheduled departure point on time will result in a cancellation fee of 100% of the trip cost. Whenever possible, in case of delay, Wild Nature Trips will make every effort to allow the traveler to join their group during the trip. This remains at the sole discretion of Wild Nature Trips.

In the event of multiple travelers being registered on the same booking, and cancellation by one of them, cancellation fees will be deducted from the amounts received by Wild Nature Trips for that booking, regardless of who made the payment. Furthermore, the fees listed in the fee schedule for personal services will apply to the canceling traveler(s). For shared services, a fee equal to 100% of the cost, regardless of the cancellation date, will be charged to the canceling participant(s) based on their share of the shared services for the trip.

The nature of the trips offered by Wild Nature Trips does not allow for partial cancellations.

In the event of cancellation, expenses incurred by the client outside of the trip itself will not be refunded under any circumstances.

Services not used or consumed on-site due to the traveler's choice will not be refunded.

Insurance and registration fees: Whether you have purchased comprehensive or cancellation insurance, the insurance premium and registration fees are due and non-refundable.

Practical Information

Given the unique nature of our trips, Wild Nature Trips cannot be held responsible for changes in legislation, dates, times, or itineraries occurring before or during the trip, particularly if these changes are caused by events beyond its control (road closures, remoteness from medical facilities, difficult communication routes, weather conditions, etc.) and jeopardize the safety of travelers. These modifications will not entitle participants to any compensation from Wild Nature Trips. Each participant must comply with the advice and instructions given by the Wild Nature Trips representative, who cannot be held responsible for incidents, accidents, or personal injuries that may result from imprudent personal actions.

Travelers must be in possession of valid identification documents, visas, and other documents required by the authorities of the various countries visited during the trip. Wild Nature Trips cannot be held responsible if the client is unable to comply with health, police, or customs checks. The information contained in this document and in the specific terms and conditions applies to French citizens. Between the publication of this document and the departure date, administrative or health-related changes may occur. It is the client's responsibility to inquire about the formalities according to their nationality. For minors, parents are required to have the necessary documents in hand. Wild Nature Trips will not be liable for any additional costs resulting from a traveler's inability to provide the required documents to the relevant authorities.


Travel Documents: Travel documents are sent by email, if time permits, at least one week before the departure date. They include the booking details (arrival information, luggage, hotels, car transport, etc.), the itinerary, and your insurance certificate. These documents may vary from one trip to another.

Wild Nature Trips cannot be held responsible for the consequences of the following events:

- Arriving after the scheduled check-in and/or boarding time for any transportation, including air travel. No refund of transportation costs will be issued by Wild Nature Trips in this case.

- The person registering on behalf of all trip participants agrees to forward to each traveler the information provided by Wild Nature Trips regarding the trip. Wild Nature Trips cannot be held responsible for any failure or omission in the communication of this information.

Wild Nature Trips trips require careful attention to the equipment carried. Therefore, you must refer to the list provided on the trip itinerary.

Drugs and dangerous substances are strictly prohibited on our trips.

Wild Nature Trips trips may require certain levels of physical fitness, which are indicated in the trip description. Wild Nature Trips cannot be held responsible for any errors in judgment made by the traveler regarding their physical abilities and health condition for undertaking the trip.

Returning to the village during jungle treks or on volcanoes can be difficult. It is your responsibility to inform Wild Nature Trips of any health problems or allergies and to bring an appropriate personal first-aid kit. Wild Nature Trips cannot be held responsible for any items left behind in your luggage. In the event of a deterioration in your health during a trek, the guide and their team are authorized to bring you back to the village/town without being held liable and without entitling you to any compensation from Wild Nature Trips. No compensation can be claimed from Wild Nature Trips for a voluntary return due to physical difficulty.

Wild Nature Trips trips with activities require strict adherence to safety rules, particularly those of Gunung Leuser National Park and during the trek on Mount Sibayak. The guides are responsible for ensuring these rules are followed. Any breach of these rules and/or any behavior deemed dangerous or inappropriate by any of them for the traveler concerned or for other people may result in the immediate return of the traveler concerned to their village/town, without this entitling them to any compensation.

Modifications

Possible program changes: Wild Nature Trips may, for various reasons, change the hotels, transportation, or itinerary mentioned, without this constituting a change to an essential element of the trip. Whenever possible, the client will be notified in advance. When these changes occur during the trip, only services not provided or not replaced will be refunded. Under no circumstances will the traveler be entitled to damages or compensation. The itineraries described in the road sheets are the planned routes under suitable weather and safety conditions. We cannot be held responsible for changes resulting from detours, road improvements, traffic changes, weather conditions, etc. In all cases, the client must comply with the safety rules issued by the guides, and under no circumstances will Wild Nature Trips be held responsible for accidents resulting from the traveler's failure to comply with these rules.

All Wild Nature Trips focus on observing and photographing wildlife and ecosystems. While the guide and their team make every effort to observe wild animals, their presence depends on many factors and sightings cannot be guaranteed. Wild Nature Trips cannot be held responsible for the absence of animals in the area explored. Failure to observe animals does not entitle you to compensation. Wild Nature Trips are conducted with complete respect for the local environment and wildlife. Therefore, the guide is responsible for ensuring proper conduct towards animals and is authorized to prohibit or stop any behavior they deem harmful to the environment or wildlife, without this giving rise to any claim for compensation.

Finally, we inform you that the photographs appearing in our various commercial descriptions (brochures, website, social networks, etc.) and on www.wildnaturetrips.com are simply illustrative of the landscapes of the country or countries you will visit and are not contractual.
